Daymar Colleges Group was challenged with managing 295 facilities maintenance companies to complete required facilities work, and was inundated with negotiating, coordinating, and processing over 2,466 invoices annually for maintenance expenses. In search for a more simplified process to monitor maintenance work, control spending, and track performance, Daymar turned to Viox Services to develop a customized, comprehensive facilities maintenance outsourcing package for their sixteen campuses across three states.
Viox Services recognized the potential for cost-effective solutions and a more simplified process to control and monitor all facilities expenses through a complete integrated facilities management program. As a result, facilities maintenance invoices were reduced from 2,466 to one invoice. During the implementation process, Viox Services designed and executed a preventive maintenance program specific to Daymar facilities identifying Key Performance Indicators (KPI’s) to measure the work performed. All work orders and spending were tracked and monitored on a Computer Maintenance Management System (CMMS) yielding additional cost savings to Daymar Colleges as well as reducing the supplier base from 295 to one.
Daymar Colleges Group recognized the inefficiency of utilizing 295 facility maintenance suppliers assigned to its sixteen campuses across three states. This course of action required 2,466 invoices to be processed, leading to an overage in hours and manpower to manage such a large customer base.
To meet Daymar’s expectations, Viox Services’ proven Integrated Facilities Management (IFM) model was provided as a solution. Within this model, Viox self performs the majority of scope of work by utilizing its Mobile Business Group, a nationwide fleet of vans with trained and licensed mechanics. A comprehensive preventive maintenance program was designed and managed through the state-of-the-art CMMS that further tracks all facility operations, financials, work order detail, and KPI’s that quantify and measure all work performed. Completing over 400 work orders a month, with 170 accounting for preventive maintenance, Viox helped Daymar Colleges Group recognize considerable savings through the implementation of the IFM model.
The scope of work implemented at Daymar included general interior maintenance: moving services, janitorial and cleaning services, pest control, and furniture replacement as well as fitness facilities, kitchens, cafeterias, and vending machines. HVAC, electrical/lighting, plumbing, and fire & life safety were initiatives provided to all campus locations.
